Angry Email Issues

Hello First time posting on this forum. Been a customer a while now. Have Two VPS packages and whilst not one of the biggest customers spend a considerable amount of money with EUK.

Firstly I like these things about your service:
1: Free Support Line
2: Free online chat/support 24/7 or near as
3: Generally good uptime
4: Good Prices

We were advised to use EUK originally by a close associate. However our service with EUK has not always been great and we have had a number of big issues in the past

The problem I have is with email, this has been an ongoing problem with EUK:
1. We are constantly emailed with emails that are spoofed with our own email addresses
I know there is probably not much we can do - we have likely been added to a spam database - now all mailto links are obfusiacted on our sites.
2. More concerning. We have recently been inundated with emails containing viruses as attachments, phishing emails etc these have often been spoofed with our own email address and on first inspection would seem to come from us, even worse - requesting to click a link for a system update. Im sure our own customers have also probably had these emails also spoofed with our email address - im sure they have possibly clicked them even. We should be able to filter these based on content or the email pattern in spam assassin please tell me how we can apply these settings globally to all domains on a vps - these should never get through to the webmail client or should not be forwarded on - simple as!
4. This is the biggest joke! Now my own registered email address with EUK is never replied to via an automated reponse or otherwise. It does not get through - suspect we have been blacklisted and the emails are deleted server side by EUK before they even get through - no error no bounce back nothing! So now cannot even reply or request a BILL is added to my account to get the plesk power pack added so we can use Spam Assassin on the newer VPS before the problems progress on this. [B]Please ensure this is not the case, we need this issue sorting[B]

This is somewhat ironic. Please can we have the same level protection from spam as EUK? Because everything comes through to us! I dont plan on spending hours to find out what modules to add to spam assassin, how to even install these etc etc - we need simple straight forward answers. WE need a server that has the minimun amount of spam coming through especially the harmful virus/phishing type.

We have rDNS set up (wasnt originally) we have had our SPF records looked at and ammended to try and stop some of this (were not originally) we have spam assassin on one server which now has this problem with the viruses getting through - they are not even marked with the *****SPAM***** header even though the email content is the same everytime. I know we can somhow train spam assassin - where are EUKs simple instructions?

I have recently just purchased a new LVPS package which Ronan very helpfully set the rDNS for and also set the SPF records to prevent some spamming - I knew these would need setting - I learned form our previous problems.

I had one customer with previous host where all spam was filtered etc - surprise soon as they are on an EUK server the new LVPS along comes the deluge of spam...

So I now get the plesk power pack and hope somebody can help me install spam assassin speak to Ken... Who tells me I must do this myself is very unhelpful and terminates the chat. Well I dont know command prompt commands or how to install perl scripts on a server! I dont plan on learning - ive not got time! - we should have a basic spam protection as standard or straightforward instructions of how to acheive this. On even the most basic hosting this is provided for and people do not get the spam people on EUK seem to.

Im aware this is my own server package which is leased and EUK cannot do everything im aware to a certain extent it is my responsibility to ensure the server runs the applications I need and I should have basic understanding BUT there are no straight forward instructions on how to install this program? I am not a Linux Tech. Im a web designer likely one of your primary customer types. It is like you paying my company to redesign your old template site and you want a flash banner with animation - I reply just open flash and create it oh and make it use action script and be updateable via xml and program it form scratch and create attractive graphics for it!

Please somebody reply or respond in some way as the problem I have with email not going through to any euk address also means I have to now request everything through chat even a billing request.

Thankyou in advance

*Edit*

I also notice something called DomainKeys - please enable this or set it if this will help the problem be resolved - only complete solution I can see it to disable php mail function if our server is also being abused and used to send spam - we cant do this we need this function.

The most important problem we have is the emails coming through with links to other sites using our domain as subdomain in link which contain the attached viruses claiming to be as system update or reqd server maintainanace patch. I notice others onthe forums have had this problem in the past. It is a common email pattern we should be able to stop somehow.

Hi Mark,

We've enabled & configured spam assassin on your server & for all your domains. The Antivirus option has been enabled too & the SPF records are setup correctly. You'd be able to manage & train the spam filter from your Plesk control panel now. We've furthermore enabled the DomainKeys feature too, which would further add authentication to verify the DNS domain of an e-mail sender and the message integrity in order to counter the recent spam attacks..

Please let us know if you need any further assistance,

Thankyou for the quick response thats great thanks - but still these particular concerning emails still come through - without *****SPAM***** in subject - can confirm this is being sent from brazilian and russian server/domains.

A question I can see we can 'train' spam assassin but this only seems to be on individual mail accounts with the mail that is currently in that mail box - all our mail accounts are imported into mail programs so the mail will not stay on the server for any long period of time for us to check this. We cant expect our customers to use Plesk to do this. Is there a better method? The free online webmail client is a bit of a joke - we cant expect them to use this as although it is functional it is not as feature packed as what they will be used to.

It is easier to manage all accounts in a mail program - people should not be expected to have to logon to yet another account to check email online webmail takes up server space also.

What other spam databases can we use to check we have the defaults of spamhaus and spam cop but these dont seem to already have the same content pattern we are receiving marked as spam - im surethe content is common so why i dont know - Im sure these emails must have been reported.

Im open to any suggestions - I tried reading the spam assassin documentation and it is very complicated there are many many modules that can be added and settings set.

Im worried our server has been compormised now - anti virus was previously switched off on the server where we have this problem Im going to check now!

I used to get loads of spam. I switched on greylisting. It reduced it to a tiny trickle. I have also seen spam that seemed to come from my server too. I'm not sure the initial supplied state of a vps is hardened enough against spam.

Writing a specific server based rule to drop the pernicious spam might be your best bet. Telling customers not to click on a link will never work
